How do I book a tour with EpicRoutes Travel?

Booking is easy! You can book directly through our website by filling out the booking form, or you can email us at travel@epicroutes.com. One of our Berlin-based travel experts will then contact you within 24 hours to confirm details, answer questions, and guide you through the rest of the process.

What payment methods do you accept?

We accept bank transfers, credit cards (Visa, MasterCard, American Express), and PayPal. For corporate bookings and large groups, we offer invoice payment with net 30 terms. All payments are processed securely.

Is a deposit required to secure my booking?

Yes, we require a 20% deposit to confirm your booking. The remaining balance is due 30 days before your departure date. For bookings made within 30 days of travel, full payment is required at the time of booking.

Do you offer payment plans?

Absolutely! We understand that travel is a significant investment. We offer flexible payment plans that allow you to spread the cost of your trip over several months. Contact our team to discuss a plan that works for your budget.

Can I customize a tour?

Yes! All of our tours are fully customizable. Whether you want to add extra days, change hotels, include specific activities, or create a completely unique itinerary, our travel designers will work with you to build the perfect journey.

What is the typical group size?

We believe small groups provide a better experience. Our group tours typically have between 8 and 16 travelers. Private tours are also available for families, couples, or friends traveling together.

Do you offer private tours?

Absolutely! Private tours are one of our specialties. You'll have your own dedicated guide and vehicle, and the itinerary is completely tailored to your interests and pace. Perfect for families, honeymooners, or small groups of friends.

Are flights included in the tour price?

International flights are not included in our standard tour packages, as prices vary greatly depending on your departure city and travel dates. However, we can certainly arrange flights for you as part of your package. Just let us know your preferred departure airport.

Do I need travel insurance?

Yes, we strongly recommend travel insurance for all our travelers. It protects you against unforeseen circumstances like medical emergencies, trip cancellations, lost luggage, and flight delays. We can recommend reputable providers or you can purchase your own.

Do you help with visa applications?

Yes, we provide comprehensive visa support for all our travelers. This includes providing invitation letters, hotel confirmations, flight itineraries, and any other documentation required for your visa application. Please note that visa fees are not included in tour prices.

What should I pack for my tour?

Once you book, we'll send you a detailed packing guide specific to your destination and the time of year. Generally, we recommend comfortable walking shoes, layers for changing weather, a reusable water bottle, and a mix of casual and slightly dressier outfits for dinners.

Is airport transfer included?

Airport transfers are included for all tour packages on arrival and departure days. For custom itineraries, we can arrange transfers as part of your package. If you're arriving early or leaving late, we can also arrange additional transfers for a small fee.

What is your cancellation policy?

Our standard cancellation policy: 100% refund if canceled 60+ days before departure, 50% refund for 30-59 days, 25% refund for 15-29 days, and no refund for cancellations within 14 days. For custom tours and group bookings, specific policies may apply. We recommend travel insurance for added protection.

What if I need to change my travel dates?

We understand that plans change. Date changes are allowed up to 30 days before departure with no fee, subject to availability. Changes made within 30 days may incur a small administrative fee. We'll always work with you to find a solution.

What kind of support do you provide during the trip?

Our Berlin-based team provides 24/7 support to all travelers currently on tour. Whether you need help with a restaurant recommendation, have a question about an activity, or encounter an emergency, someone is always available to assist you.

Do you offer group discounts?

Yes! We offer special rates for groups of 6 or more travelers. Discounts vary depending on the tour, season, and group size. Contact us for a customized group proposal.
